    Usage limits in Todoist

    Usage limits help keep Todoist fast, stable, and reliable for everyone. To ensure peak performance, we apply specific caps to tasks, projects, and file sizes. Review this guide to understand these usage limits and the increased capacity you get with Todoist Pro or the Business plan.

    General limits

    These limits apply to all Todoist accounts, regardless of your plan:

    Why place a 300 active task limit? Why cap projects to 500? These limits ensure Todoist stays fast, stable, and reliable for everyone. Having too many active tasks in a single project can slow syncing down and increase the risk of performance issues. It applies to all plans, including Todoist Pro and Business, so there's no option to increase these limits. That said, we're working to make our sync engine faster, so we can increase these limits.

    Personal limits

    These limits differ depending on whether you're on the Beginner plan or a paid plan:

    If you’re often hitting these limits, one helpful approach is to split large projects into smaller ones and use sections to organize tasks by topic (for example: “Movies,” “Budget,” “Household,” or “Gift Ideas”). This keeps Todoist performing at its best and also makes projects easier to navigate and maintain. 

    If your paid plan ends and you have more than 5 active personal projects, the extra projects become view-only. You can see them, but you can't edit them. Learn what happens when you downgrade from Pro to Beginner.

    Team limits

    These limits differ depending on whether your team is on the Beginner or Business plan:

    There are no limits to the number of paid teams you can create, and you can join as many teams as you want. However, you can only create one free Todoist team at a time. Learn more in this guide to Todoist teams.

    Task Capture Assist and Ramble limits

    Task Capture Assist and Ramble share one monthly session allowance. Text, file, image, and voice captures all count toward the same total.

    On the Beginner and Pro Legacy plans, sessions reset automatically on the 1st of each month (UTC). A session only counts when Todoist finds at least one task. Failed, canceled, or zero-task captures don't count. Opening Ramble without capturing tasks doesn't count either. You can upgrade anytime to get unlimited sessions.

    The Pro and Business plans include unlimited sessions, within fair use limits.
