How do I integrate Todoist with gmail and google calendar?

I downloaded Todoist for Google Chrome (or at least I think I did) because it is advertised as integrating with gmail and google calendar. But it is not clear to me how to make that happen. Thank you!

Hello Laura,

the Gmail integration allows you to add links to your emails as tasks. In order to do so, please log in to your Gmail account, select an email, then open the Todoist plugin, access a project and at the bottom of your task list (next to "Add task" and "Reorder") you will find an "Add Email" link which will add a link to this email as a task.

While you're not on the Gmail page, you will see "Add link" in the same place which will allow you to easily add a link to the page you're currently on.

As for Google Calendar integration - go to:
https://www.google.com/calendar/

In the menu at the left side, you'll find two lists: "My calendars" and "Other calendars". Open "Other calendars" and choose "Add" -> "Add by URL" (or, in the new view, click on the small arrow icon next to "Other calendars" and choose "Add by URL from there). A new window will appear where you'll be able to enter your Todoist iCal feed.

You can find the URL on the Todoist website by going to Preferences -> General. It's at the bottom of the window.

This way you can also integrate Todoist's iCal feed with other calendar software incl. Outlook.

In the Any.Do solution, they add at the bottom of each Gmail a small icon where you can add an Any.Do task, related to the current opened mail .
Are you aware of this? Seems to me a better solution? Is it feasible ? Is it in your plan?

Anyway, I like very much your solution, the GUI and the fact that you can organize your tasks with project and label ... Hands Up !

Hi,

I'm trying to integrate my todoist with google calendar. I did what you said above, but it didn't work. My google calendar page get loading for a long time with the message "Importing data from URL" and anything else happens.

May you help me?

Hello Tarsis,

We're sorry for the inconvenience, this may happen due to server overload. Please try to add the iCal feed to your Google Calendar and once you see the "Importing data..." message, close the calendar. Google should then attempt to sync it multiple times automatically and will most likely succeed within 12-24 hours and the feed will be added.

Hi Luis,

Just to clarify, are you sure it has stopped syncing? With Google Calendar it only updates once a day. Also, have all tasks stopped syncing with the calendar, or only certain ones?

The quickest solution would be to remove the calendar and re-add, this would solve any current issues, but not resolve why it has happened in the first place, meaning it would possibly continue.

I added two tasks some minutes ago and then I looked to google calendar to see what would happen...and nothing. Is there an especific time when the sync occurs?

Luis,

The sync time is based off when you first added the feed to your calendar. So if you added it at 2:30PM then it would be that everyday.

OK. I reinstalled the calendar and it worked out.
Good so far.
But, why the sync happens only once a day? Isn't it very limiting?

Hello Luis,

Yes, this is indeed inconvenient, but unfortunately, there's nothing we can do about it on our end. Our feed can be updated in real-time, but Google have set up their servers to update all iCal feeds only once a day.

We hope they'll change it in the future, we're also planning to create our own calendar module within Todoist. If you have access to any other calendar software (iCalendar, Outlook, etc.), you can use our feed there and it will be updated live.

Hi. I have managed to customize sync how was discribed here, but todoist calendar can't be modified in google calendar. Todoist sets 1 hour task duration by default. How can I change event duration?

Please go to https://todoist.com/gmail and click on the "Get the plugin - it's free" button there. It will forward you automatically either to Chrome's or Mozilla's page, depending what browser you're using.

On the Mozilla page, you can click on "+ Add to Firefox" and on the Chrome page, click on "Add to Chrome".

Please make sure that you're not using any ad- or script-blocking plugins which may block the popup window that contains the link in Chrome.

David, when I follow you instructions, the window pops up that says at the
top, "TODOIST FOR GMAIL". Overlaid on that window is another window that
says,

The thing is, I have chrome installed. I do not see and "add to chrome"
option.

Also, I don't know how to make sure I'm not using any ad- or
script-blocking plugins which may block the popup window that contains the
link in Chrome. Usually when popups are blocked, I get a banner on my
toolbar asking me if I want to allow the popup. Can you tell me how to make
sure I don't have thoseplugins?

I'm by no means computer illiterate, so I'm pretty sure I'm following the
instructions properly. I just got Todoist today after comparing it to
Wunderlist, Any.do and Google Keep and decided I like Todoist best; I also
upgraded to premium, so I'm just learning how to use it.

Hi Mike,

Just to clarify, you're using Chrome to access this link https://todoist.com/gmail ? I know it's something basic but it's better to 100% sure. ;-)

If you can send us a screenshot of the window that you're seeing, that would help us determine what's causing this.

Clicking on the "Get the Plugin - It's Free" button should redirect you to this page: https://chrome.google.com/webstore/detail/todoist-for-gmail/clgenfnodoocmhnlnpknojdbjjnmecff

Try clicking on that link and see if you can install it from there. To check if you have any ad-blockers installed, just go to Settings -> Extensions and try to check if there are any extension pertaining to ad blocking.

David, my problem turned out to be that I was doing everything from IE
instead of Chrome. So once I opened a Chrome Browser and typed in "
todoist.com/gmail", everything worked as expected. But since I have
to access Gmail from Chrome, I don't think I'll be able to use this feature
at work; I work for the Navy and our computers are locked down tight as far
as being able to download Chrome to use as a browser. We use IE and that's
it. But I can still use it at home. I have been very impressed so far by
how tightly integrated todoist is with everything. If I make a change in my
schedule on my cell phone, it shows up on my laptop almost instantly (not
sure how that works, but very cool). I do have a few other questions:

1. What is the difference between a comment and a note? As I recall, one of
the benefits of premium was that I could add notes, but I only see an
option for comments.If I remember correctly, before I upgraded to premium
there was a separate option for comments and one for notes; it would let me
add a comment, but when I tried to add a note, it directed me to a screen
asking me to upgrade to premium. Now that I have, I don't see an option for
notes. If they are one in the same and I am mis-remembering, then
disregard.

However, my main question about notes/comments is: is there a way to
display them with the task on my "next 7 days" list rather than just
showing a little note ikon by the task?

2. If I try to assign responsibility for a task to someone other than
myself (collaborator), that task is removed from my next 7 days list and I
can no longer see that task from that screen ( I realize it is still
viewable under its assigned project). Is there a way to keep those tasks on
my next 7 days list screen? Even though the task is assigned to someone
else, I may still have responsibility for it as that person's
supervisor and would still like to be able to track that task from the main
screen.

3. Is there a way to identify collaborators by phone number rather than
email? At work, we use texting as much or more than email; also, some
people I communicate with at work don't have a Navy email address and
texting is the main way to pass messages. Since you have the option for SMS
notifications, it would make sense to use phone numbers.

4. What are labels used for? How can those be used to improve handling of
tasks? Please give me an example.

5. When I open todolist on my laptop, there are check boxes next to each
task, but no check boxes on my cell phone (galaxy note II). How do I get
check boxes on my cell phone?

6. what are filters used for? How can those be used to improve handling of
tasks? Please give me an example.

7. What is the "inbox" used for as compared to projects?

8. Is there a comprehensive tutorial for todoist?

9. Is there any way to see the next 30 days or longer without having to
search or go into individual projects?

1. They are the same. A note is a person version, once a project/task is shared it becomes a comment but has the same features, options. As of now the only way to see notes is clicking the icon, we will look into improving this in future updates.

2. Right now the only way for a task to show up on your date based view is to be your own task or a task assigned to you. We will consider more viewing options as well.

3. Again, right now its by email address only right now. You can of course add a number to a task name or note, but there is no way to add someone by this.

4. There are many uses, and can be used any way or not at all. The most common use is for status. So for example @waiting or @inprogress.

5. Each platform has different designs, and we felt on mobile this is a better system then checkboxes. It may change in the future.

6. Filters give you more viewing options for your tasks. If you want to see tasks due today that have a certain label on it, you can do that. You can do almost anything with filters. http://todoist.com/Help/Filtering

7. It is a project, its basically a default location, if you need to add something quick but have no idea where it goes yet, this is it. It can be anything you want though.

Why is it that when I hit my back button on my phone from many screens in
todoist (i.e., to try to get back to my 7 day screen), it sends me back to
my home page (desktop) such that I have to reopen todoist from my home page
again. So far, I like todoist very much, but this is very irritating. I
have seen where other people have the same problem. Is there a fix for

Mike,

You are saying that no matter what screen you are on, if you hit back it goes to your Android homescreen? Unless you are in an edit mode, or adding a reminder or a menu where you are doing something, the views (projects, today, 7 days) is really the same menu, so if you hit back, there is only one place to go.

Though we will look into improving this in the future, maybe adding options of what exactly back does.

here's an example using the following actions:
1. open the tray swiping from left to right
2. open "Labels"
3. open one of my labels
4.a If I hit back button, back to Android homescreen
4.b If I swipe from right to left, I get a "No Notifications" screen; swipe
again to the left and nothing happens
4.c If I swipe left to right, I go back to the Labels/Projects screen;
swipe again to the right and nothing happens
5. The only way to get back to my 7 day screen is to hit the back button,
go to my Android home screen and then reopen todoist from my Android home
screen
6. Painful

its at the 2:00 point of the review. But I did not notice the 7 days button
- that will help, but there are still cases where you need to go back to
the home screen

white text? I have seen photos of todoist screen shots with a black
background.

What exactly is a "push notification". When or why would I use it as a
reminder as opposed to an SMS message? When I "send a test message" under
"push notifications" in Todoist Settings, I get the same alert sound from
my phone as I do when I receive a test SMS message. Thank you, Mike

Hi,

Push is really the next evolution. Your apps can all notify you about something, and that is called Push Notifications. So instead of getting a text, you get a nice menu at the top in your notification area, with details.

Its a much better system, allows for future improvement.
